GroceryBilling Privacy Notice

This notice explains what information GroceryBilling uses, what is designed to stay local on your device, what may use cloud services, and the choices available to merchants and shoppers.

1. Information we use

Account information: sign-in identifiers and basic authentication information used to secure your account. Business information: store name, country/market, contact and configuration details, catalogue/items, prices, tax settings, feature settings, plan/capacity selections and connected-service settings. Customer-facing workflow data: information a shopper provides when using Scan & Buy or Online Grocery Ordering, where needed to deliver that requested workflow.

2. Local-first merchant records

Detailed completed bills, sales records, expenses, purchases, returns, shift records and related merchant operational history are designed to remain local-first in the business device/browser. Clearing browser storage, resetting a device or removing local app data can remove local records, so merchants should use available export/backup features for information they need to retain.

3. Information that may use cloud services

GroceryBilling may store account identity, business profile, catalogue/item information, business configuration, plan/capacity information, Billing Station authorization/configuration and data required for connected customer workflows in cloud services. Scan & Buy, Online Ordering, QR/customer experiences and multi-device features may require internet/cloud transport so information can move between participating devices.

4. Location information

When a merchant enables location-based Online Ordering, GroceryBilling may use the store location and a merchant-selected service radius to determine whether the store or ordering option should be available to a shopper. Shopper location should be requested only when a location-dependent feature needs it. GroceryBilling does not need continuous background location tracking for ordinary billing.

5. Analytics and service measurements

GroceryBilling may use aggregate or business-level operational measurements such as active-business status, bill counts, aggregate sales totals, units sold, catalogue counts, Scan & Buy activity, feature usage, capacity usage and plan-selection events to operate and improve the service. This analytics layer is not intended to create a central cloud copy of individual bills, customer purchase histories or transaction line items. Optional Google Analytics on the website/application is loaded only after the user allows analytics; it is configured without Google Signals or ad-personalization signals.

6. Plans, capacity and promotional access

We may store the business market/currency, current plan, selected capacity add-ons, resource usage/entitlements, promotional dates and plan-selection history so GroceryBilling can provide capacity features and understand product demand. During the current complimentary-access model, no payment card is required and no automatic subscription charge is created merely by selecting a promotional plan.

7. Service providers

GroceryBilling relies on service providers for functions such as authentication, cloud hosting, connected workflows and, when consented to, analytics. Those providers process information needed to provide their service subject to their own terms and privacy obligations. GroceryBilling does not sell merchant or shopper personal information to advertisers.

8. Merchant responsibilities for customer data

A business using GroceryBilling controls the information it chooses to collect from its customers and is responsible for using customer information lawfully, providing any notices required for its business, limiting access appropriately and avoiding unnecessary collection.

9. Retention and deletion

Local-first records remain on the relevant device/browser until the merchant deletes them, clears local storage or the data is otherwise removed. Cloud information is retained while reasonably needed to provide and secure the service, meet legitimate operational/legal requirements or resolve disputes. To request deletion of cloud account/business information, contact support@grocerybilling.com. Deleting cloud information does not automatically erase copies that remain locally on merchant devices.

10. Security

We use reasonable technical and organizational safeguards appropriate to the service, including authenticated access to merchant areas and separation between local-first transaction records and connected cloud data. No internet or storage system can be guaranteed completely secure, so merchants should protect their account/device access and maintain appropriate backups.

11. Your choices and privacy rights

Depending on applicable law and your location, you may have rights to request access, correction or deletion of certain personal information, or to object to/restrict certain processing. You can also decline optional Google Analytics through the analytics preference shown by GroceryBilling. Contact us to make a privacy request; we may need to verify the request before acting on it.

12. Children

GroceryBilling is a business service and is not directed to children. Business account holders should be legally able to enter into the applicable agreement for their business.

13. International use

GroceryBilling can be used in more than one market, including India and the United States. Cloud service providers may process information in countries other than the user's location. Where applicable, processing remains subject to relevant legal requirements and provider safeguards.

14. Changes to this notice

We may update this notice as GroceryBilling evolves. The updated date/version will be published here, and material changes may require renewed acknowledgement where appropriate.
